List every item a parent will be asked to pay
Start from last session's receipts. Sort the items into compulsory fees (tuition, levies, books) and optional ones (bus, lessons, clubs, uniform). A parent should never meet a charge that is not on the schedule.
Decide what is charged once and what is charged each term
Nigerian schools run three terms in a session. Some items are charged once, such as a development levy or uniform, and some every term, such as tuition. Mark each item so the schedule adds up correctly for the parent who pays by the term and the one who pays for the whole session.
Set amounts by class
If fees differ by class, give each class its own row. Round to amounts parents can pay by transfer without change. Check the total for the year against your budget before you publish it.
Write the rules next to the numbers
A fee schedule is also a set of rules. Put these on the same page.
- Payment deadline for each term
- Whether installments are allowed, and the dates
- The sibling discount, and how it is applied
- What happens to unpaid fees, including whether results are withheld (check any ministry or state guidance first)
- How refunds are handled when a pupil leaves mid-term
Publish once and keep it stable
Send the schedule to parents before the session starts. Change it only for the next session. If a change is unavoidable, tell parents in writing and give the reason.
In EduPrefect the fee structure is set per class and term, and invoices are created from it, with installment plans and sibling discounts.
