School management software in Nigeria: what to look for
A guide for proprietors, principals and bursars choosing software for a private school. A ten-point checklist, the questions to ask, and where EduPrefect fits.
What the software is for
A private school in Nigeria runs on three things at once: money, results and parents. Fees arrive by transfer, cash and card, in three instalments a year. Results follow WAEC-style grading and must be ready by a date the parents know. Parents want a balance, a report card and a reason when their child is absent.
School management software puts those three things in one record, so the bursar, the form teacher and the proprietor are looking at the same numbers. The test of a product is whether it removes work in report-card week and at the start of term, not how long its feature list is.
The checklist
Ten things to check before you sign
1. Fees in naira, matched to invoices
Ask how a parent pays, where the money settles, and how a payment finds its invoice. Check for installments, sibling discounts, refunds and a defaulter list.
2. Who holds the money
Prefer a system where each payment settles to the school's own account. Ask what the vendor charges on top, and whether you or the parent bears it.
3. Nigerian grading and report cards
Look for CA plus exam scores, an A1 to F9 scale you can edit, class and subject positions, and report cards on your own template.
4. Attendance a teacher will actually take
The register should open on a phone, work when the network drops, and tell parents when a child is absent.
See: Attendance, Teacher app
5. A parent app that parents will open
Balances, results and attendance in one place, payment in a few taps, and one login for parents with children at more than one school.
See: Parent app
6. Admissions you can run from a link
An apply-online link, documents, the application fee, and a queue where your staff, not the software, decide who is admitted.
See: Admissions
7. Roles that match your staff
The bursar should not see what only the principal needs. Ask for roles, a second approver on money changes, and a log of sensitive actions.
8. Payroll you still control
Salary structures, PAYE and pension worked out, payslips produced. Be clear on who remits and files: with us, you do.
See: Payroll
9. Data protection you can show
Consent forms, a data export, tracked erasure requests and an audit log help you answer a parent. Ask what the vendor does not claim, too.
10. Setup, training and an honest price
Ask who migrates your records, who trains your staff, and what the full year costs in naira including extras. Prices should be written down.
How to run the decision
Start with the job that hurts most: usually fee collection or report-card week. Write down what a good term looks like for it. Shortlist two or three products and ask each for a demo on your own classes, fees and grading, not a sample school.
Put the same six questions to every vendor, and ask for the answers in writing. Our comparison pages list them and set EduPrefect beside OpenEduCat, Edves, FlexiSAF, Nersapp and eSchool.ng, using only what each vendor publishes.
Check how the vendor protects your students' data. Ours is on the security page, including what we do not yet claim.

Questions
Questions schools ask when choosing software
What is school management software?
Software that holds a school's records and runs its routines: fees and receipts, results and report cards, attendance, admissions, staff pay, and messages to parents. In a Nigerian private school it should also follow terms and sessions, A1 to F9 grading and payment in naira.
How much does school management software cost in Nigeria?
It varies by vendor and by how they charge: some are free with paid extras, some charge per student, some charge a yearly licence. Ask for the full-year cost for your number of students, in writing. EduPrefect's naira prices are being finalised; ask us for the founding-school rate.
Should a small school choose free software?
Free software can be the right start if you have someone to set it up and train staff. Count the paid extras, the setup time and what happens to your data if you leave. Our comparison pages set out what each vendor publishes.
Does the software need internet in the classroom?
Mostly yes. Ask each vendor which tasks work with no signal. In EduPrefect the Teacher app records the register and scores with no signal and syncs later. The Parent app, online payments and the admin site need a connection.
How long does it take to switch from spreadsheets?
It depends on how clean your records are. We aim to have a founding school live within a week, with free data migration, onboarding and staff training. Treat any vendor's timeline as an aim until they show you a school that did it.
